Position Summary:
Responsible for preparation, coordination, and tracking of competitive bids, proposals, quotes, and requests for information meeting the requirements of the customer and according guidelines established by the company. The accuracy of the work directly affects the efficiency and credibility of the department as well as the overall organization. The work requires daily interaction with various internal departments such as sales, marketing, legal, customer support , contract coordinators, contract analysis, and finance teams.
Responsibilities: Essential Duties
  • Prepare and coordinate all competitive bid/proposal requests, to include, GPO, Service, Repair, Installment Sale, International, Inter-Company, Purchase and Sale requests, Evaluation Agreements, Contract renewals, Contract Amendments, and Courtesy Pricing requests.
  • Work with corporate accounts team, marketing dept., and legal team to properly interpret request requirements, analyze data and prepare response according to guidelines within required time frame.
  • Prepare request summary for each proposal and distribute to appropriate personnel for review, input and approval. Act as liaison between requestor and other department personnel to collect required data/information for the response.
  • Prepare components for request, review terms and conditions, product pricing, description, manufacturing data, composition of product and packaging information. Business Associate information, Supplier questionnaire, complete other required documents and submit request package.
  • Request and distribute business and usage reports relevant to business request.
  • Research competitive selling environment to assist in determining bid pricing.
  • Provide related contract pricing and cross-referencing information to the sales field for review and evaluation.
  • Compose a variety of correspondence.
  • Implement contract awards, verify pricing, GPO Affiliation, Membership, Account/Customer Listing all corresponding terms and conditions for accuracy and enter data into SAP and Contract management system.
  • Interpret and enforce contract related policies and procedures such as payment of Admin Fees and rebates and set up appropriate accruals.
  • Record and file data pertaining to the request for tracking and follow-up.
  • Research, respond to, and process contract pricing discrepancies submitted from customers or the sales field.
  • Must comply with applicable ISO and FDA regulations as stated in Quality Manual

  • Mathematical Skills: Ability to add, subtract, multiply, divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Expertise: Qualifications-Experience/Training/Education/Etc
  • Bachelor's degree from an accredited college; or equivalent combination of education and experience.
  • Requires three + years of contract experience.
  • Experience in medical industry, hospital purchasing, or surgical instruments helpful.
  • Requires advanced experience in Microsoft Office and SAP proficiency preferred.

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee frequently is required to use hands to handle or feel and reach with hands and arms. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 20 pounds.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
