Position Summary:
Develop and execute Aesculap Academy accredited and non-accredited educational programs targeted to external customers with minimal day to day direction from the Manager, Academy, Conventions & Meetings. Responsibilities include design, develop, manage and produce events/courses from start to finish.
Responsibilities: Essential Duties
  • Initiate meeting/course venues through the RFP Process
  • Negotiate vendor contracts for Labs and Events
  • Manage attrition to meet budgetary targets
  • Conduct site selection through the RFP Process
  • Organize and conduct pre-planning strategy and de-brief meetings with marketing, and sales management
  • Manage and execute conference related services (e.g. audiovisual, food and beverage, props, printed collaterals) as needed.
  • Manage and execute housing and transportation
  • Communicate logistics and details to program attendees, faculty, and company personnel
  • Manage the coordination of CE In Service Courses through Pfiedler Enterprises
  • Maintain and report accurate budgetary records
  • Accountable for all AdvaMed and company compliance aspects of the program
  • Design registration website, agenda, essential forms, brochures and other relevant collateral
  • Implement event apps for certain key events
  • Interact with the executive team and all levels of senior management
  • Update event calendar and corporate website
  • Update AAG website with current Aesculap Academy meetings
  • Report quarterly to AAG
  • Report monthly to compliance on HCP spending per event
  • Prepare and send accurate HCP invites and paperwork
  • Conduct course evaluations and provide monthly summary reports
  • Assist the Manager, Academy, Conventions & Meetings as needed.

  • Strong decision making, communication, customer service, problem solving, organizational, planning and interpersonal skills.
  • 10% travel required for on-site management of meetings to include domestic travel and weekend work.
  • Must comply with applicable ISO and FDA regulations as stated in Quality Manual

  • Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
  • Mathematical Skills: Ability to add, subtract, multiply, divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Expertise: Qualifications - Experience/Training/Education/Etc
  • Familiarity with medical credited and non-accredited educational program requirements.
  • Familiarity with AdvaMed and ACCME regulation requirements.
  • Requires excellent written and interpersonal communication skills
  • Must be proficient in Windows, Microsoft Outlook, Excel, PowerPoint, Word.

  • SAP experience highly desirable.
  • Certified Meeting Planner (CMP) desired.
  • Bachelor's degree preferred or commensurate work experience
  • 5-6 years meeting planning experience required in a professional environment, medical industry highly preferred.
  • Experience planning product training courses in a bio skills/cadaveric lab setting is highly preferred

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
